Remove team members when they leave or no longer need access. Proper offboarding protects your data and maintains security.

What Happens When Removed
Immediate Effects
| Action | Timing |
|---|---|
| Workspace access revoked | Immediate |
| Team membership removed | Immediate |
| Access to team websites removed | Immediate |
Removal takes effect the moment it is confirmed: the member can no longer load the team's dashboard, websites, or data. Their login is no longer tied to the team, so their next request to anything team-owned is denied.
Data Handling
When a member is removed:
- Their account still exists (they can belong to or join other teams)
- Historical activity remains logged under their name
- Content they created (goals, reports, etc.) stays in the team
- No personal data is deleted from Zenovay
Removing Different Roles
Removing an Admin
As Owner:
- Open the member's row in Settings → Team
- Remove as normal
- Consider reassigning their responsibilities
Removing an Editor
As Admin or Owner:
- Open the member's row
- Remove as normal
- Review content they created
Removing a Viewer
As Admin or Owner:
- Open the member's row
- Remove as normal
- No additional steps needed
Removing Yourself
If you are the Owner, you cannot remove yourself directly. Transfer ownership to another member first, then leave the team. Any other member can leave the team at any time from the same menu (Leave Team).
Before Removing
Checklist
Before removing a member:
- Verify they should be removed
- Check for pending work
- Reassign ownership of any shared assets
- Export relevant audit logs if you need a record
- Notify relevant stakeholders
Reassign Their Work
If they own important items:
- Reassign goals to another member
- Update alert recipients
- Transfer scheduled reports
Offboarding Best Practices
Timing
Remove access:
- Same day as departure
- Immediately if involuntary
- After transition if planned
Communication
| Situation | Approach |
|---|---|
| Planned departure | Coordinate timing |
| Layoff | Remove before notification |
| Termination | Remove immediately |
| Contractor end | Remove on last day |
Documentation
Record:
- Date of removal
- Reason (internal notes)
- Who performed removal
- Any issues encountered
Handling Special Cases
The Sole Owner
A team must always keep at least one owner. If you are the only owner and want to leave, promote another member to owner first, then leave the team.
Members with Active Sessions
A removed member loses access to the team as soon as removal is confirmed. Any page or data they try to load afterward is denied. If they are signed in elsewhere, their own login session still exists, but it can no longer reach this team's workspace.
Accidental Removal
Can't Undo Removal
Removal cannot be undone directly.
To Restore Access
- Send a new invitation
- The member accepts
- Reassign the appropriate role
Preventing Accidents
- Double-check before confirming
- Review the audit log afterward
Re-Inviting Former Members
Sending a New Invitation
Former members can be re-invited:
- Go to the invite flow in Settings → Team
- Enter their email
- They accept as a new member
- Previous activity is still visible
What's Preserved
| Item | Status |
|---|---|
| Previous activity logs | Preserved |
| Historical attributions | Preserved |
| Old role | Not preserved (set again on re-invite) |
| Website access | Restored with their role |
Security After Removal
Audit Trail
Removal is logged in the workspace audit log:
- Who was removed
- Who performed the removal
- When it happened
- Their role at removal
You can review it under Settings → Security, which holds the workspace-wide audit trail. You can also export the log to CSV from there on any plan (Scale supports a longer export window).
Verify Removal
Confirm access is revoked:
- Check the member list no longer shows them
- Review the audit log entry
Troubleshooting
Can't Find Remove Option
If you don't see the remove option:
- Check your role (you need Admin or Owner)
- Verify the target isn't the sole Owner
- Refresh the page
Member Still Has Access
If access seems to persist:
- Confirm the removal completed (check the member list)
- Have them sign out and back in
- Check whether they belong to the team through another invite
Removal Failed
If removal errors:
- Try again
- Check your network connection
- Contact support if it persists
