Permissions in Zenovay are set by the role you assign to each team member. There is one role per member, and that role applies across your whole workspace. To change what someone can do, you change their role.
For a full breakdown of what each role can do, see Roles and access levels.
Where to manage members
- Go to Settings → Workspace
- Open Members
You'll see everyone in the workspace, with their role and the date they joined.
The roles
| Role | What they can do |
|---|---|
| Owner | Full control, including billing and team ownership |
| Admin | Manage websites, members, and settings (not billing) |
| Editor | Create and edit websites and settings, view analytics, export data |
| Viewer | Read-only access to websites and analytics |
There's also a separate Client role used by the agency client portal, which gives read-only access to specific websites. That's set up through the agency tools rather than the regular Members list.
Changing a member's role
- Go to Settings → Workspace → Members
- Click the member's role (or open the ⋯ menu on their row and choose Change role)
- Pick the new role
- Save
Info
You can only change roles for members below your own level. Owners can manage everyone; admins can change editors and viewers, but not other admins or owners.
Removing a member
- Open the ⋯ menu on the member's row
- Choose Remove member
- Confirm
Removing someone immediately revokes their access to the workspace.
Website access
Regular team members (owner, admin, editor, viewer) have access to all of your workspace's websites. Roles control what someone can do, not which websites they can see.
If you need to give someone access to only specific websites, that's what the client portal is for: it provides read-only dashboards scoped to chosen websites.
Scale PlanThe client portal and per-client website assignment are available on the Scale plan. See your agency tools to set up a client and choose which websites they can view.
Reviewing permission changes
Role and membership changes are recorded in your workspace audit log.
- Go to Settings → Security → Audit log
- Look for role changes, invitations, and member removals in the timeline
The audit log is available on every plan. Exporting the log as a CSV (with date-range selection) is available on the Pro plan and above. See Audit logs for the full list of recorded actions and export details.
Troubleshooting
A role change didn't seem to take effect
Have the member sign out and back in so their session picks up the new role.
You can't change or remove a certain member
You can only manage members below your role. You can't change another owner's role or remove an owner unless you're an owner yourself, and a workspace must always keep at least one owner.
Best practices
- Start with the lowest role. Assign Viewer first, then move someone up only when they need to edit.
- Review regularly. Check the Members list periodically and remove people who no longer need access.
- Use the client portal for limited access. If a client or contractor only needs to see specific sites, give them client-portal access rather than full workspace membership.
